Payment Information

We do not store full credit/debit card details — all payment processing is handled securely by Stripe, subject to their own privacy policies. We only collect the minimal personal data needed to deliver our service. We may receive limited subscription and transaction information from Stripe, such as subscription status, transaction identifiers, payment status and billing dates, where necessary to administer your subscription.

Performance of a Contract

We process account information, submitted content, assessment responses, interview submissions, CVs, cover letters and subscription information where necessary to provide the Apprentice Lab services requested by you.

We may process limited personal information where necessary for our legitimate interests in operating, supporting, securing, preventing misuse of and improving Apprentice Lab, provided those interests are not overridden by your rights and interests.

5. AI Processing

Certain features use third-party artificial intelligence providers, including OpenAI and other service providers we may engage from time to time.

When you submit content for analysis, review, scoring, transcription, or feedback, the relevant content may be shared with these providers solely for the purpose of delivering the requested service.

Depending on the feature used, submitted CVs, written answers, assessment responses, audio, video, interview transcripts or prompts may be processed by AI or technology providers in order to provide the functionality requested by the user.

Where supported by our providers, we use settings intended to prevent submitted content from being used to train publicly available AI models.

AI-generated feedback is provided for informational and educational purposes only. We do not guarantee the accuracy, completeness, suitability, or effectiveness of AI-generated outputs, and users should independently review all feedback before relying on it.

6. International Data Transfers

Some of our technology and service providers may process personal information outside the United Kingdom.

Where personal information is transferred internationally, we use an appropriate lawful transfer mechanism where required.

Depending on the destination and provider, this may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved Standard Contractual Clauses or another transfer mechanism permitted under applicable data protection law.

• OpenAI and other AI providers (AI-powered functionality)

• PDFEndpoint (converting CVs you create into downloadable PDFs)
• Google (sign-in, if you choose to log in with Google)

These providers process personal information only as necessary to perform services on our behalf.

8. Data Storage and Security

We implement technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure.

Interview recordings and uploaded documents are stored in access-controlled environments and transmitted using encrypted connections.

However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected.

The period for which information is retained depends on the type of information and why it is being processed.

Account information and user-generated content may generally be retained while an account remains active.

Following account deletion or a valid deletion request, personal information will be deleted or anonymised within a reasonable period unless it must be retained for legal, accounting, taxation, fraud-prevention, dispute-resolution, security or other legitimate purposes.

Certain information may remain temporarily within secure backups before those backups are overwritten or deleted.

Payment and transaction records may be retained for the period required for accounting, taxation, fraud prevention or legal compliance.
